The Pulitzer Center is seeking a highly organized, mission-driven professional to join its growing AI Initiative as a Program Coordinator, AI Initiative. The successful candidate will play an important operational role within the AI Accountability Network, helping coordinate newsletters, training programs, grants, fellowships, community initiatives, editorial activities, and emerging AI-focused projects.
About the Program Coordinator Role
The Program Coordinator will provide essential administrative, editorial, and programmatic support to the AI Initiative. The position requires someone who can manage multiple priorities, communicate effectively with international stakeholders, maintain accurate records, and develop efficient workflows.
Although the position is primarily administrative, the Pulitzer Center values creativity, experimentation, collaboration, and initiative. The Coordinator will work closely with AI editors, the AI Spotlight Series team, operations staff, external contractors, coaches, grantees, fellows, web developers, and communications professionals.
Key Responsibilities
AI Newsletter Coordination
The Coordinator will manage the production of the Pulitzer Center’s bi-weekly AI newsletter. Responsibilities will include identifying relevant stories and authors, soliciting written contributions, scheduling content, establishing targets, coordinating editorial workflows, and tracking newsletter performance metrics.
AI Spotlight Series
The role will support implementation and expansion of the AI Spotlight Series by coordinating coaches, contractors, translators, regional promotional partners, trainees, and technical resources. Responsibilities will include managing applications and candidate selection, organizing virtual and in-person training sessions, coordinating curriculum development, supporting surveys, maintaining website content, and assisting with technical and community-building activities.
The Coordinator will also maintain dashboards covering website traffic and other performance indicators, working with web developers and relevant teams to support data analysis, accessibility, usability, and strategic decision-making.
Grants, Payments and Editorial Administration
A major component of the position involves supporting the administration of grants, fellowships, reporting projects, and programmatic payments. This includes processing documentation, scheduling payments, tracking deliverables, monitoring project status, coordinating travel-related requirements, communicating payment expectations, and resolving administrative issues.
The Coordinator will also help track program impact and develop metrics that support organizational learning and decision-making.
Communications and Community Engagement
The successful candidate will collaborate with the Communications team to promote AI programs, events, resources, and initiatives to appropriate audiences. The role will also involve managing the AI Listserv, responding to editorial inquiries, supporting online community growth, drafting website and email copy, and assisting with website publishing.
Additional responsibilities may include supporting conferences, organizing panels and travel, contributing to funder reports, and assisting with the launch of new AI products and special initiatives.
Qualifications and Experience
Applicants should have approximately five years of experience supporting administrative and programmatic activities for distributed teams. Strong organizational, communication, problem-solving, and project-management skills are essential.
Candidates should demonstrate an interest in or knowledge of AI, technology’s impact on society, algorithmic accountability, journalism, or media. Experience or understanding of AI in journalism and media will be particularly valuable.
Additional desirable qualifications include:
- Experience with grant administration or nonprofit payment processing.
- Strong spreadsheet and tabular-data skills.
- Experience coordinating training programs and virtual events.
- Experience creating newsletters and managing online communities or listservs.
- Knowledge of website analytics and accessibility best practices.
- Ability to independently manage competing priorities and meet deadlines.
- Ability to develop efficient, agile workflows and administrative systems.
- Cultural awareness and sensitivity when working across countries and nationalities.

- Proficiency in at least one Pulitzer Center language, alongside English, particularly Spanish, Portuguese, Bahasa Indonesia, or French.

Performance will be assessed through the consistent delivery of high-quality newsletters, smooth coordination of AI Spotlight Series training, accurate grant and payment administration, effective impact tracking, responsive stakeholder communication, improved workflows, and growth of the AI Listserv and related communities.
Salary and Benefits
The position offers a salary of $54,500 to $62,000 per year, depending on experience, for US-based employees.
