Key Responsibilities

A major component of the position is payroll and employee benefits administration. The successful candidate will coordinate monthly payroll processes covering the Global Support Office, JAGO, Uganda, Rwanda, Ethiopia and the Central African Republic (CAR).

Responsibilities include collecting and reviewing payroll inputs, checking adjustments involving new hires, terminations, salaries, allowances and deductions, reviewing payroll reports and reconciliations, and ensuring applicable statutory obligations are addressed.

The HR Coordinator will also serve as the main HR liaison with the external payroll consultant, while coordinating employee benefits such as pension or provident funds, life cover, disability benefits and medical aid or health insurance. Maintaining confidential and accurate payroll and employee records will also be an important responsibility.

Contract Administration and Employee Exits

The role will coordinate employment contracts for employees across several ForAfrika offices, working with the Legal Practitioner to ensure contracts, extensions, amendments and terminations are completed accurately and on time.

The HR Coordinator will also support employee exits, including resignations, contract endings, retrenchments and redundancies. This includes preparing documentation, coordinating handovers and exit interviews, arranging final payments and ensuring organizational assets and system access are appropriately managed.

Performance Management and HR Systems

Performance management is another central part of the position. The HR Coordinator will help ensure new managers are properly established within the organization’s performance management systems and understand the relevant processes.

The role includes tracking probation periods, reminding managers about upcoming reviews, following up on regular performance check-ins, and coordinating quarterly and biannual performance submissions.

The successful candidate will also maintain employee files, assist staff with HR-related queries, prepare monthly reports for the HR Director and support audits. Experience with systems including Sage 300 People/Payroll, Ninety EOS and Employee Self-Service (ESS) will be particularly relevant.

Employee Relations and Investigations

The position places significant emphasis on employee relations, workplace investigations and accountability.

The HR Coordinator will act as a first point of contact for grievances, workplace concerns, disciplinary matters and other employee relations issues. The successful candidate may conduct or support investigations involving misconduct, policy violations, harassment, bullying and workplace conflicts.

The role can also involve supporting Safeguarding and Sexual Exploitation and Abuse (SEA) investigations, requiring strict confidentiality and survivor-centred handling of sensitive cases.

Additional duties include coordinating disciplinary and grievance processes, preparing documentation, arranging meetings and hearings, maintaining accurate records and tracking employee relations cases through to resolution.

Qualifications and Experience

Applicants should have a Bachelor’s degree or Diploma in Human Resources Management, Industrial Relations, Business Administration or a related field.

ForAfrika requires a minimum of five years of relevant HR generalist experience, including practical exposure to employee relations, payroll administration, contracting, performance management and HR operations.

Additional training or qualifications in employee relations, labour relations, workplace investigations, payroll or HR administration would be an advantage.

Candidates should have demonstrated experience handling grievances, disciplinary procedures and workplace investigations, as well as maintaining confidential case records. Experience involving workplace misconduct, harassment, safeguarding or SEA investigations would also be beneficial.

Knowledge of employment and labour legislation, procedural fairness, disciplinary procedures and grievance processes is required. Applicants should also have practical payroll and employee benefits experience and proficiency with Sage 300 People/Payroll or a comparable HR and payroll system. Experience working across multiple countries, jurisdictions or culturally diverse teams is an advantage.

Skills and Competencies

Strong computer literacy is required, particularly proficiency in Microsoft Excel, Word, PowerPoint and Outlook.

The role also requires strong organizational, communication, confidentiality and coordination skills because the HR Coordinator will work with employees, managers, Country Offices, external payroll providers, service providers and other stakeholders.
