About the Role

The Documentalist and Communication Officer will work across the Documentation Centre and the Communications and Publications (ComPub) Unit, providing support for both physical and digital information services.

Reporting to the Head of ComPub, the successful candidate will manage documentation systems, oversee digital databases, support scholarly publishing, and contribute to the Institute’s website and social media communications.

The role combines librarianship, information science, digital publishing, and communication within a collaborative international team.

Key Responsibilities

The successful candidate will contribute across four main areas:

Documentation and Database Management

  • Manage physical document collections through cataloguing, indexing, and filing.
  • Maintain and update the Labourline documentation database.
  • Collect, encode, and organize information within institutional systems.

Literature Monitoring and Editorial Support

  • Monitor literature in ETUI’s priority research areas.
  • Support researchers and management with information retrieval.
  • Review and standardize publication bibliographies according to editorial guidelines.

Digital Publishing

  • Register and publish ETUI publications across multiple platforms.
  • Manage publication records on the ETUI website, Labourline, SSRN, and CrossRef.
  • Support legal repository submissions and metadata management.

Communications Support

  • Assist with website maintenance using the institutional CMS.
  • Update digital content and contribute to social media activities.
  • Support online dissemination of ETUI research and publications.

Qualifications and Skills

Applicants should possess a Bachelor’s degree in librarianship, information science, social sciences, or a closely related field.

ETUI is seeking candidates with experience in documentation and information management, together with strong organisational and communication skills.

Key technical competencies include:

  • Library and documentation management
  • Digital collection management
  • MS Office 365, SharePoint, Teams, and Zotero
  • Website content management systems (CMS)
  • Information management software such as Kentika or similar platforms
  • Basic digital and social media communication skills

Experience with CRM software is considered an advantage.

Experience and Languages

Several years of experience in a similar position is desirable, particularly within a nonprofit, research, academic, or international organisation.

Applicants should demonstrate:

  • Fluency in English and/or French
  • Willingness to learn the Institute’s second working language
  • Strong planning, coordination, and interpersonal skills
  • Intellectual curiosity and the ability to work collaboratively

Knowledge of European Union institutions, labour policy, or the European trade union movement is a distinct advantage.
